## What is the reloop dashboard?

The **merchant dashboard** is the web app you log into as a business once you've created your account. You reach it through the [login on reloop.cards](/login) and it works in any current browser — Mac, Windows, iPad, Android tablet, smartphone. No native app, no plug-in. On a single page you have access to every area: programs, customers, reporting, campaigns, team, locations, settings, billing. The interface is GDPR-compliant and hosted on European cloud infrastructure (Frankfurt).

Your workflow as a merchant almost always starts on the overview page — the **dashboard home page** with all the real-time KPIs for your active programs.

## The dashboard overview: KPIs, charts, and trends at a glance

When you log in, you land straight on the overview. It's laid out like a cockpit: four core KPIs as tiles, a trend chart for stamps and rewards, and two donut charts for activation and completion. You can switch between four time ranges: **24 hours, 7 days, 30 days, 90 days**. The data refreshes server-side every 60 seconds — you get near-real-time visibility into your loyalty program.

## Managing programs: the heart of your loyalty strategy

A **stamp card program** is the configuration of a single loyalty card: which reward, how many stamps are required, what the wallet pass looks like, which locations belong to it, and whether an email newsletter is offered. You can run as many programs in parallel as you like — each plan has a limit (Starter 1, Business 1, Premium 10).

### AI generator: from homepage URL to a finished card

If you don't have a brand style guide handy, you can use the **AI generator**. You enter the URL of your website, the system reads your homepage, extracts the business name, primary color, accent color, logo, and industry, and proposes a complete program within about 10 seconds. You can accept everything or adjust individual fields before saving. It works especially well for cafés, bakeries, and salons with an existing web presence.

## Apple Wallet & Google Wallet: your card on your customers' lock screen

The real trick of a **digital stamp card** isn't in the dashboard, it's in your customers' smartphones. reloop generates two pass formats in parallel per card:

### Apple Wallet (.pkpass)

Apple requires the proprietary **PassKit format** — a signed ZIP file with a logo, strip image, pass.json, and signature. We generate it server-side with `passkit-generator`, sign it with the Pass Type certificate, and deliver it via a save-to-wallet link. The `.pkpass` contains:

- Strip image: your branding, generated via a `sharp` renderer with your colors, stamp icons, and (optionally) a background image
- Logo (1×, 2×, 3× for Retina) — automatically scaled from your uploaded logo
- Program name as the header field, card ID as the secondary field, stamp counter as the auxiliary field
- Geofences: your locations with lat/lon (Apple allows up to 10 per pass) — iOS triggers the card on the lock screen when the customer is nearby
- Back fields with reward text, a "how it works" guide, and a support link
- A web service URL for silent pass updates via APNs (Apple Push Notification service) after every stamp

### Google Wallet (loyalty pass)

Google uses an API-based model: we create one **LoyaltyClass** (static branding) per program and one **LoyaltyObject** (with a dynamic stamp counter) per card. After every stamp, the backend makes a PATCH request — Google syncs the card silently in the background. Advantages:

- **Direct push notification** to the lock screen via wallet broadcast (see the campaigns section)
- A hero image that can be updated dynamically — it can switch to the reward state when the goal is reached
- Optional **NFC tap stamping**: independent of the wallet card — the guest holds their phone to an NFC tag on your counter and the stamp is booked automatically (on every plan)
- Optional **rotating barcode (TOTP)**: a QR code that rotates every 30 seconds for maximum anti-fraud security (Business plan and up)

Both pass types are delivered in parallel — the customer chooses whether to save the card to Apple Wallet or Google Wallet. As a merchant you don't have to worry about any of it; the dashboard renders both versions automatically.

## Customer management: cards, status, and test identities

In the **Customers** area you see every single card you've issued. The table can be filtered by program and status (All, Active, Paused, Redeemed, Expired) and shows:

- Email (if collected — depending on your program's email capture mode)
- Program
- Current stamp count
- Redeemed rewards (cumulative)
- Card status
- Issue date
- Last stamp timestamp

For each card you can open a customer-ID detail view, make manual corrections (add/remove stamps if something went wrong), and block or delete a card.

You can create **test cards** at any time from within the program editor — perfect for walking through the full customer journey yourself before go-live, or for creating realistic demo cards to train your team.

## Campaigns: wallet push and email newsletters

Re-engaging existing customers is cheaper than winning new ones. reloop gives you two direct channels:

### Wallet broadcasts (Google Wallet push)

Write a header (≤50 characters) and a body text (≤200 characters), choose the target programs — and send the **wallet push** directly to all Google Wallet users in those programs. The notification appears on the lock screen without your customer having to open any app. For each push you can see:

- Reach: the number of cards that receive the push
- Send history: all past broadcasts with date, reach, and failed count
- A resend function for after-the-fact corrections

For privacy reasons, Apple Wallet doesn't allow direct lock-screen pushes — for Apple users the pass is updated silently (e.g. a new hero image), and through the **geofences** iOS then triggers the card automatically as soon as the guest is near your location.

### Email newsletter

If you've enabled `emailCaptureMode: required` or `optional` in the program editor, you can collect email addresses per program. In the **newsletter composer** you write:

- Subject
- Preheader (the preview text in the inbox)
- A Markdown body with headers, lists, links, and images
- Optional: a hero image URL (a large banner image at the top)
- Optional: a CTA button (text + link)

A **live preview on the right** renders the email in real time. You choose the target program, see the active subscriber count, click "Send" — and delivery runs via the Resend batch API. ### Subscriber list & send history

Both communication channels have their own **history page** with filtering, sorting, and a resend function. You manage subscribers per program on a separate page with opt-in status, sign-up date, and last send.

## Reporting & analytics: what your data tells you

Beyond the KPI overview, on every plan you get access to:

## Team, roles, and scanner access

No merchant works alone. reloop supports **multi-user teams** with three roles:

### PIN login & TeamAccessQR

So your staff don't have to constantly fiddle with email and password, there are two staff-friendly access methods:

- **PIN login**: a four- to six-digit code, generated once, quickly entered on any tablet/phone
- **TeamAccessQR**: a printable QR code that opens a pre-authenticated scanner link — staff scan once, and the smartphone remembers the access as a PWA home-screen icon

Every stamp is logged in the **audit log** with staff ID, timestamp, and IP. In the monthly report you can see, per person: stamps awarded and rewards redeemed.

### Configuring scanner feedback

Under `Team → Scanner Feedback` you set how the scanner sounds and feels on a successful stamp: **sound** (None / Beep / Ding / Chime) and **haptics** (None / Light / Medium / Strong) — separately for success, redemption, and error. It sounds minor, but in the hectic café routine it's the difference between a "did that work?" follow-up and a clean routine.

## Locations, geofencing, and multi-location

You can add each of your business addresses as a **location**. The system geocodes the address automatically via a Nominatim proxy and shows you up to five matches to choose from. You can also enter lat/lon manually if you need exact values (e.g. for pop-up locations without an official address).

Locations serve three purposes:

1. **Geofencing in the wallet pass** — iOS and Android use the coordinates to show the pass on the lock screen as soon as the customer is close enough
2. **Multi-location reporting** — you can see, per location, how many stamps and redemptions happen
3. **Multi-location staff** — you can bind staff accounts to individual locations

Plan limits: Starter and Business each cover 1 location, Premium up to 5 locations. If you need more, that's an Enterprise conversation — available on request.

## Stamp workflow: scanner, QR, and the actual moment

The **stamping process** is the central operational act. It works like this:

1. The customer opens their wallet card (Apple or Google)
2. On the card there's a **QR code** (static or rotating, depending on the program)
3. A staff member opens the scanner in the browser or as a PWA at `/s/[slug]/scan`
4. The scanner is active with the smartphone/tablet camera
5. The QR scan takes 1–2 seconds; the scanner shows confirmation with sound/haptics
6. The backend checks: is the QR token valid? Has the daily cap (max stamps per day) not yet been reached? Is the card active?
7. The stamp is booked, and the Apple/Google PATCH request runs in the background
8. The customer sees the new stamp on their card 1–2 seconds later

**Anti-fraud mechanisms** at every stage:

- HMAC-SHA256-signed QR tokens with a 60 s time-to-live
- Per-program max stamps per day (default: 1)
- An audit log with staff ID, time, and IP
- Optional rotating QR code (TOTP, 30 s rotation, Business plan and up)
- Block card sharing (on every plan) — a card can only run on one device at a time

## Billing, invoicing, and subscription management

In the **billing area** you can see:

- Your current plan with a status badge (trial, active, past_due, canceled)
- Days remaining in your trial or until the next invoice
- The payment method on file (Stripe customer portal)
- The expected next invoice amount
- Plan changes (upgrade/downgrade — pro-rata billing on upgrades)
- A PDF invoice archive with downloads

reloop billing runs through **Stripe**, and all invoices are available as PDFs. When you reach 80% and 100% of your card limit, you automatically get an email with an upgrade link — nothing is quietly locked.

## GDPR, audit log, white-label, and anti-fraud

reloop is built from the ground up for the **DACH market**:

- **Hosting in Frankfurt** (Google Cloud `europe-west3`)
- **No trackers, no cookies** on marketing pages — no cookie banner needed
- **Anonymous card IDs** by default — email capture is opt-in per program
- **Data processing agreement (DPA)** available as a PDF download
- **Data export** as CSV on cancellation — programs, cards, stamp history
- **Automatic deletion** of personal data 90 days after inactivity (Art. 17 GDPR)

In the **audit log** you can see every single stamp and redemption with timestamp, staff member, and IP — important for disputes and compliance reviews.

**White-label** can be enabled on the Premium plan: the reloop watermark disappears from the pass strip image. Custom branding (logo, brand colors, your own hero image, your own program typography) is included on every plan.

## Common questions from real-world use

**Do I need a separate program for each location?**
No. One program applies to all of your locations. You add locations separately and link them in the background — the customer sees a single card, but the pass knows all the geofences.

**Can I run multiple programs in parallel?**
Yes, on the Premium plan: up to 10 programs. Starter and Business cover one program each. A classic Premium setup: a main "Coffee Loyalty Card" program, a seasonal "Summer Campaign 2026," and a bonus program for lunch menus.

**What happens if a customer loses their phone?**
The card is tied to the device's wallet but stays in our database. The customer re-scans with the same email — the stamps are back instantly.

**Can I also import cards from Excel or an old loyalty system?**

**How quickly does my guest see a new stamp in the wallet?**
1–2 seconds with Google Wallet (PATCH request), 5–15 seconds with Apple Wallet (APNs). The guest doesn't have to open the app.
